Special notes can be electronically recorded centrally for a multi-user environment. This means that information can be recorded specifically for the Vehicle, Driver, Shift or Route and communicated to anyone that has access to the Despatch/Operations system. The electronic notes system eliminates the need for hand-written notes, thereby reducing the chance of miscommunication.
Custom designed Yard Plans are used to optimise the despatch of a vehicle based on its position in the yard; and also the berthing of the vehicle based on projected despatch of the vehicle on the same day or next day. The Yard Plan also contains a feature to berth the vehicle in non-active tracks such as the workshop, unserviceable, or a stop track. Shared tracks can also be utilised for sharing vehicles across multiple depots. A sophisticated automatic despatch system can be utilised which uses yard position of the vehicle, workshop requirements and route requirements to best match vehicle to shifts and jobs.
The Workshop schedule can be easily accessed to optimise the despatch planning of a vehicle based on its scheduled time in the workshop. The Date and the Time In/Out of the workshop can be amended by Operations instantly updating the Workshop schedule. This means that the workshop can schedule work, operations can plan around that schedule except when special conditions arise, such as a vehicle breakdown or a change in the route or charter operations.
System alerts are presented if a user attempts to utilise a vehicle that has a workshop requirement for the shift period or a vehicle does not match the service requirements of the shift (such as wheel chair accessible services).
SMS messages can be automatically sent to a selected group of drivers to respond to uncovered shifts. This eliminates the need for constant phoning and validation of a driver’s availability for work. A complete audit trail is captured on driver responses to SMS work requests.
TIMS Operations Despatch also interfaces with TIMS Performance Monitoring. Recording of altered trip information such as Late/Early running or missed trip, etc. can be recorded as a snapshot of trip incidents and then compiled in detailed or summary reports by driver, vehicle, route or shift. This is the ultimate tool to assist in analysing route efficiencies.
Accidents and Breakdowns can also be instantly tagged real time and then revisited later to record detail of the event.
Complete driving status of an employee is displayed such as earliest sign on for duty based on previous day’s work and licence details. Driver log books or Time Sheets can be adjusted throughout the day according to the drivers’ tasks or activities. This means the payroll is optimised frequently throughout the day thereby minimizing the labour in generating the weekly or fortnightly payroll.
TIMS Operations Despatch interfaces with TIMS Fleet Maintenance enabling Operations to make instant decisions about the availability of vehicles. This interface is designed for rigid or flexible environments that enable operations and workshop live interaction in making snap decisions about vehicle utilization based on company policy. TIMS Operations Despatch also interfaces with Time Sheets for Payroll. Instant changes to accommodate driver sick portions, relief drivers and the resultant pay conditions can be sent directly to Time Sheets.
