The TIMS Charter module encompasses all facets of the Charter process including: quotations, bookings, vehicle, driver and subcontractor allocations and invoicing.
An extensive Calendar presents multiple view options on quotations to follow up, unscheduled work, invoices to be completed and so forth. This enables the manager a complete progressive overview of any day, month or even year.
View, Print, File Export, Email an extensive range of reports on quotes converted, booking history by customer and drivers, vehicle utilization and plenty more! A range of reports are available to send confirmations of quotations and bookings.
Multiple companies are easily managed in Charter. Unique company logos can be formatted to appear on correspondence to specific customers. Cross charging if required between your companies is automated to ensure that the
correct cost and revenue is accounted accurately.
Multiple depots enable complete flexibility in moving charter jobs around the company as suited to your resources and customer location. In addition, the Web Charter system has the option to automatically assign a charter request to specific depots based on the postcode entered by a customer on the web.
Extensive passenger options can be custom defined using a variety of costing methods.
Extensive Vehicle options as requested by the passenger interfaces directly with the rostering of charters. System alerts highlight any mismatch of a vehicle used against the charter job.
System alerts are also used to advise when vehicles and drivers are rostered with time overlaps.The system checks overlaps with other charter jobs and overlaps with route services.
Seamless integration with workshop enables the user to make instant decisions about a vehicle progressing with a job. If a user attempts to utilise a vehicle that is booked to the workshop for the same charter period, a warning box is presented. If a defect has been reported on a pre-allocated charter vehicle outside of operations hours, the system will show the affected jobs.
System alerts are used when a user attempts to allocate drivers that are unavailable due to sick leave, annual leave, or changed duties. If a driver is already allocated
to work at the time of unavailability being advised, the system will show the affected jobs.
A virtual Yard Plan of where vehicles are parked in the depot to allow for even easier allocation of vehicles. This interfaces directly with the TIMS Operations Despatch module.
Complete Award Interpretation can be loaded to enable Time Sheets to be produced for payroll.
Purchase Orders for a Driver’s accommodation can be generated automatically at the time of entering a charter booking.
A Purchase Order facility dynamically loads in operations if a subcontractor is allocated to a charter job. This immediately prompts the user to generate a Purchase Order to email to the subcontracting company. An Instruction Sheet for the subcontractor to distribute to their driver is also emailed with the Purchase Order.
Drivers can be assigned to a vehicle to automatically roster the driver to a charter job when that vehicle is used.
The cost of supplying vehicle and driver is visible when rostering charters also showing the total cost for each run or portion of a charter.
A charter can be quarantined at completion of the job before an invoice is produced. This enables sales to investigate any charter job highlighted by operations that may require an adjustment to charges.
Extraordinary options are available for the period in which an invoice is produced, the detail printed on the invoice and the delivery options of the invoice to customers. Complete customisable flexibility when invoicing customers.
